How To Send A Read Receipt Outlook For Mac: Avoid Common Mistakes and Pitfalls



This article covers read receipts for the Microsoft Outlook email client, including Outlook for Microsoft 365, Outlook for Microsoft 365 for Mac, Outlook for the web, and Outlook 2019, 2016, 2013, and 2010. Other Microsoft email clients, such as Outlook.com and Microsoft Mail, don't have read-receipt functionality.

Even with this setting, you may not get read receipts from everyone. Your email recipient doesn't have to send a read receipt, and not all email clients support read receipts. For better results, request read receipts on individual emails only when it's important.


There are a few other read-receipt caveats with Outlook on a Mac. They only work on an individual basis with a Microsoft 365 or Exchange Server account. Plus, read receipts aren't supported for IMAP or POP email accounts, such as a Gmail account.


Outlook is one of the best email clients available for Windows and macOS and many of us use Outlook for sending and receiving emails. Some of the emails sent might be important and urgent and it may be important for you to know if the recipient has read the email. There is an option in Outlook called Read Receipt, which can be configured and you get a notification on whether the recipient has read your email or not. Here is how to enable read receipts in Outlook, both in Windows and macOS.


Step 3: This will take you to Outlook options. Here you need to select the Mail tab on the left side. Under the mail option, you can see the Tracking sub-menu. Here you will see the option to enable read receipts in email. You can check the box against read receipts and click on OK to enable it.


In macOS, enabling read receipt is a different process. Read receipts and delivery notifications are available in only some versions of Outlook for Mac, and only when using a Microsoft 365 work or school account, or an Exchange Server account managed by your organization.


And, frankly, you shouldn't use read receipts. Most mail clients can be set up to simply ignore read receipt requests. If the mail client isn't ignoring read receipt requests, then it gives the reader a message asking if the reader wants to send a read receipt; many people select no. The existence of a read receipt doesn't actually tell you whether your reader read your mail.


On PCs, you can turn on a feature that automatically adds an Outlook read receipt to all email messages. The Outlook app on Macs does not offer this tool. Experts recommend using it for a short period of time and then turning it off once the issue or project is resolved.


Note: The read receipts feature is available only on Outlook for Microsoft 365 for Mac, Outlook 2021 for Mac, Outlook 2019 for Mac and Outlook 2016 for Mac. You can check your application version by going to Outlook > About Outlook.


Outlook users with PCs can also set up a feature that allows them to automatically decline all read receipts. (The Outlook app on Macs does not provide this option.) To prevent Outlook from notifying all senders that you have opened their email on a PC, follow these steps:

While handy, it's far from foolproof. The recipient has the option to refuse to send the read receipt, and some email programs disregard read receipts entirely. Nonetheless, if you want to send an email with a read receipt, here are two ways to do it.


This automatic setting appears to be the default for accounts on business-level Office 365 subscriptions. The setting must be manually disabled and is switched-on regardless of how read receipts are handled on the desktop Outlook app.

At first let's define the difference between delivery and read receipts. A delivery receipt informs you that your email message was or wasn't delivered to the recipient's mailbox. A read receipt shows that the message was opened.


When you send an email, it goes to the recipient's email server, which delivers it to their inbox. So when you get the delivery receipt it shows that the message successfully reached the intended email server. It doesn't guarantee that the email is in the recipient's inbox. It can be accidentally removed to the junk e-mail folder.


The read receipt is sent by the person who opens the message. If you got a confirmation that your email was read by the addressee, it is obvious that the email was also delivered. But not the other way around.


Now I'd like to show you how to request delivery and read receipts for a single message and for all emails you send. You'll also see how to set a rule based on getting delivery and read receipts in Outlook 2013.


As soon as the message is delivered and the recipient opens it, you will get the email read notification like the one below.You see that a common email notification normally contains the recipient's name and email address, subject, date and time of email sending and when the recipient opened it.


Let's imagine another situation. Suppose, all emails you send are crucial and you want to double-check that every single letter reaches its recipient. Then it's better to request delivery and read receipts for all outgoing messages:

Outlook 2010 and 2013 make it possible to set a special rule to get delivery and read receipts. It means that you will get the notifications if certain conditions are met. Follow the steps below to set a rule according to your needs:


For example, I select the condition 'with specific words in the recipient's address'. It means that I request a read receipt only from the recipients who have specific words in their email addresses. What are specific words? Feel free to discover below.


If you get it once a year, you are likely to confirm that you get the message. But if you are constantly prompted to send a read receipt for every message you receive, one day it may set your nerves on edge. What can you do?


The read receipt request in Outlook 2013 looks like on the following screenshot.Note: The request message displays only if you double-click the email to open it. If you read the message in the preview pane, the request window won't pop up. In this case you need to switch to another email for the read receipt request to appear.


If you don't want the sender to know that you opened and read this particular email, simply choose No. Still you are likely to get the request again. If you don't want it to happen, select the 'Don't ask me about sending receipts again' check box.Next time you get the message that includes a read receipt request, Outlook will not show any notification.


If both the sender and the recipient use Microsoft Outlook with Exchange Server, it is not a problem at all to request delivery receipts and get notified when the email is opened by the recipient. But not all email clients support this mail confirmation feature. What should you do then?


There is a variety of services available for tracking your emails. The most well-known are getnotify.com, didtheyreadit.com, whoreadme.com. They all use the same principle in their work. When you are ready to send your message, you just add the tracking service address to the recipient's email address, and your message turns out to be automatically and invisibly tracked. As soon as the recipient opens the email, you will get a notification from the service and your recipient will not know about it. The information you get varies from service to service. Most of them tell you when your message was opened, how long it took the recipient to read it and where the addressee was when he got the message.


Neither Outlook delivery / read receipts nor email tracking services are able to guarantee that the recipient read and understood the message. But all the same, delivery and read receipts are among most useful tools that Outlook 2016, 2013, and 2010 provide you with.
